Meeting Minutes

Joga "A"States

Announcer - Set up announcers table and microphone. Announce during meets and awards. Play gymnast's floor music.

Admissions / Coaches / Gymnast Check In - Collect money from spectators, check in gymnasts, sell goods (flowers, etc.), be sure no one enters the gym with food. Be sure no one but gymnasts and coaches enter the side door to the gym. Answer phones. Must arrive 1 hour prior to meet gymnast report time. Pre-meet work includes making copies of score sheets to sell and making signs for items to sell. (2 people)

Concessions / Judges Hospitality - Coordinate the gathering of food and drinks to sell. Set up and run concessions during the meet. Provide Judges with meals and set up judges room. Provide judges with water and candy during the meet. (4 people)

Concessions Runner - Help concessions during the meet. Run to the store for ice (etc.) and for pizza as needed during the meet.

Beam Timer - Tima the length of the mean routine. Facilitate the JOGA Meet Format regarding warming up (3 & 1 Bump Touch). Assist with labeling and distribution of awards.

Beam Fall Timer - Time the beam falls during the meet. Help line gymnasts up for march in. Assist with labeling and distribution of awards.

Bar Timer - Time the bar falls and the Joga Meet Format warm-up on bars. Line up the gymnasts for the march in at meet start. Distribute T-shirts and goody bags to coaches at the end of the session before awards.

Vault Timer - Time the Joga Meet Format warm-up on vault. Line up the gymnasts for the march in. Distribute T-shirts and goody bags to coaches at the end of the session before awards.

Floor Timer - Time the length of the floor routines and facilitate the Joga Meet Format warm-up on floor. Assist with labeling and distribution of awards.

Score Table - Manage the score compilation on the computerized score system. Set up cables and wires prior to the meet if it is decided to use the computerized flashers. Distribute awards and get signatures on Judges Score Sheets. Keep manual scoring in case of power failure. (2 people)

Meet Maintenance - Maintain the cleanliness of the gym during the meet. This includes keeping the bathrooms, taking out the garbage and keeping the gym during the meet. Also responsible for making sure all spectators do not eat or drink in the gym, do not use flash cameras and do not stand along the wall. Set up podiums, etc. for awards at the end of each session. (2 people)

Floater - Help out where needed (a per Meet Director) during the meet. Help line up gymnasts for march-in. Distribute T-shirts and goody bags prior to awards. Runner/Flasher supervisor. (1 person)

Cleaning - Clean the gym prior to the meet. Clean the gym after the first session Saturday night. Clean the gym after the meet Sunday night. These people do not have to be in the gym during the meet. (10 people)

Set up and Breakdown - Set up the equipment and the bleachers prior to the meet on Friday night. On Saturday afternoon prior to meet start, help carry in concession food, set up tables for concessions, admissions, judges, judges room, etc. On Sunday night after the meet ends, breakdown equipment and bleachers. Breakdown judges room, concessions and admission tables, judges tables, etc. (6 people)


JOGA Saturday Afternoon Meets

Announcer - Set up announcers table with microphone. Announce during the meets and awards. Play gymnast's floor music.

Admissions - Collect money from spectators, be sure no one enters the gym with food. Be sure no one but gymnasts and coaches enter the side door to the gym. Answer phones. Must arrive 1 hour prior to meet gymnast report time. After admissions slow down, help out at concessions. (1 person)

Gymnast check in - Beam Fall Timer - Check in gymnasts, answer phones. Must arrive 1 hour prior to meet gymnast report time. Pre-meet work includes making copies of score sheets to sell. After checking in gymnasts, proceed to beam to time the beam falls. (1 person)

Floor Timer - Time the length of the floor routines and facilitate the Joga Meet Format warm-up on floor. Distribute goody bags at the end of the meet prior to awards.

Score Table - Manage the score compilation on the computerized score system. Distribute awards and get signatures on Judges Score Sheets. Keep manual scoring in case of power failure. (2 people)

Set up / Clean up - Report three hours prior to meet to set up. Includes moving bleachers back upstairs, setting up chairs upstairs, setting up judges chairs and timer chairs, set up tables for concessions and admissions, vacuum lobby, stock and clean bathrooms, help concessions set up. Report back at the end of the meet to put back chairs, bleachers, and tables, clean up bathrooms, vacuum and clean floor upstairs, wash mats. These people do not have to be in the gym during the meet. (2 people)
